As of an half an hour ago, all assignments have been sent! Please check your email, or log into your AO3 account and check the link available on your Assignments page!

(Your AO3 Assignments page can be reached by replacing "[USERNAME]" with your AO3 user name in the following URL: archiveofourown.org/users/[USERNAME]/assignments OR by clicking on the "Assignments" link on your Dashboard.)

We tried very hard to make sure everyone got the best assignment possible, but of course not everything is going to be a 100% perfect match. Please let us know if you have any concerns.

Reminders:

    - Fics/art are due Dec. 17. You may post to the AO3 collection at any time, as your submission will be hidden until Dec. 24.
    - On Jan. 1, you can post your story/art wherever you like (but not before, please).
    - Fics should be at least 500 words long (1000 is better), artwork at least a couple hours' work.
    - You are only required to fulfil 1 of your recipient's requests. As many people have provided a variety of options in each request, choose the parts you're most comfortable with.
    - Please use the AO3's ratings/warnings and try to get your written work beta'd. In a pinch, we may be able to find you a beta reader.
    - Please don't discuss your assignment anywhere your recipient might see and remember to thank your giver once the fics/art are in.
    - If you find yourself in a position of having to withdraw from the exchange, please let us know as early as possible so we can reassign your prompt.

Submitting:

    If you look at your Assignments page on the AO3, there will be two buttons under your Lord of the Rings Secret Santa 2016 assignment: Fulfill and Default. Clicking on "Fulfill" will allow you to submit your story/art to the LotR SeSa exchange easily, as it will auto-fill a few key fields, including which assignment it is for, which collection it belongs in, and your recipient's name. This is the best way to go about submitting your work for the exchange.

    You can also post directly to the exchange collection by using the "Post to Collection" button available on LotR SeSa's AO3 profile page, although that will not auto-fill the same fields for you.

Greetings from your friendly neighbourhood elves! (Hopefully of the Tolkien variety rather than the tiny and twee North Pole type. ^_~)

So, it's that time of the year again: time to sign up for the Lord of the Rings Secret Santa exchange! Slash, femslash, het and gen, fic and fanart; you can request it all, so why not join in? Sign-ups will run from now until November 15th.

Previous years' stories and art can be found, as usual, via the website or this community.

Please note that this is an FPF challenge. (i.e. Fictional, not real people fiction/RPF.)

We're always open to all the Peoples and Ages of Middle-earth, which means that characters from The Hobbit are welcome too!


The Rules (2016):

1. Your story (or fanart) is due December 17th 11:59 pm Pacific Time (you can check what that is in your time zone here) and will go online December 24th -- please post it to the community (and nowhere else, until January 1st) and we will make it public on Christmas Eve.

2. Naturally, it'd be better if you didn't talk too much about your fic/art beforehand in places where your recipient could see it. Also, as a matter of fairness, please make your story more than 500 words (1000 is better). For fanart we'd expect you to spend at least a couple of hours on your work.

3. Please only sign up if you plan on actually fulfilling your end of the bargain. If you're going to be late or cannot complete your assignment, please let us know so we can discuss alternate arrangements. In addition, there will be a pool of emergency replacement writers/artists, so that everyone who signs up gets their gift.

4. Signing up: the sign up form can be found here (or here if the main link gives you an error message). If you need help with signing up, please don't hesitate to contact the mods.

5. This year's timeline (2016):

- Signups: November 4th to 15th.

- Assignments sent out: On or near November 16th.

- Assignments due: December 17th.

- Stories/art revealed: December 24th.

- Author/artist names revealed: January 1st.

6. When you're done, please add your story/art to the collection on AO3. All gifts will be revealed on December 24th.



That should be it. Assignments will be sent out shortly after signups close, hopefully on or very shortly after November 16th, giving you approximately four and a half weeks to finish your assignment. We realize that it's not possible that everyone gets to write their OTP, but we'll do our best to make sure you don't have to write something that squicks you, so be sure to let us know your preferences.

[Mod Post] Minimum Level of Feedback Required for All Gifts-- [Jan. 3rd, 2016|10:33 pm]

Hi folks,

As lotr_sesa winds down for 2015, we've had lots of really wonderful positives come out of this round, including an impressive increase in art, stories and participants. The master list and a larger post about what we've learned from this round and what to expect from future rounds are coming, but before that, something more pressing has come to our attention that we'd like to address now.

Just because we've moved to the AO3 does not mean that kudos are now the minimum amount of feedback required for your gifts. The minimum amount of feedback required remains a comment thanking your author/artist for creating a story/piece of art for you.

If you have not left a comment on your gift thanking your writer/artist, now is the time to do that.

If you have been given more than one gift/treated, you are required to leave comments on all of them.

This is one of the things we will be paying far closer attention to in the future. This is a gift exchange, and as such, it has one basic rule: You get a gift, you say thanks.

Thank you so much to everyone who has left kudos and comments on the submissions so far! Every time you do so, you make the participants and the mods happy. And for everyone who hasn't yet had a chance? Now's a good time! Go make your fellow participants happy.

[Mod Post] Submission Deadline Has Passed! [Dec. 20th, 2015|01:03 pm]

As I'm sure everyone's aware, the December 19th deadline has now passed (rather firmly, in all timezones) for submissions to this year's lotr_sesa. If you have not yet been in touch with us and asked for and been given an extension, you are now considered in default of the exchange.

You have a very short window of time now, as myself and empy prepare to officially mark you as defaulted and send out the call for backups, in which you can get in touch with us and give us your submission's status. We will need to evaluate your status to determine whether or not we can accept your assignment at this late a date.

If you have contacted one or both of us about an extension already and have not yet heard back, please email me ASAP at galadriel AT shaw DOT ca.

I will update this post once the defaulting process has been completed.

ETA: Defaults have been processed. Backup writers/artists will be contacted shortly.

ETA2: Backup requests have gone out. Still searching for placement for one assignment.

As we get closer to the deadline for submissions (December 19th), we'd like to assemble a larger list of potential backup writers and artists who would be willing to step in should a participant be unable to complete their assignment.

This does not mean that you're absolutely committing yourself to helping out, but rather that you're willing to consider the opportunity should it arise.

[Mod Post] One Week to Go! (And Treat Updates) [Dec. 12th, 2015|11:35 pm]

This is your one week warning! Submissions are due on December 19th. Please post them to our collection at the AO3, and make sure that your recipient's name is properly entered into the "Gift this work to" field.



We've also had a couple more questions about the mechanics of treats for lotr_sesa.


1. Does the December 19th deadline apply to treats as well?

Short Answer: No.

Longer Answer: The Dec. 19th deadline does not apply. We're fine with people submitting treats up to the moment the primary part of the exchange goes live. While we never set a specific time on the 24th when submissions are approved (it's entirely contingent on mod availability on a fairly busy day), if the stories/art haven't been released yet, you're still good to go. (In fact, because we never set an exact release time for the 24th, I'll make sure we check back a few hours after the exchange goes live just to approve any treats that didn't quite slip under the wire.)


2. Are gifts to the community allowed? (Ex: Fanart, ficlets, drabbles, other fanworks, etc. that are not specifically prompt-based, or are two or more prompts mixed together, or take an idea from a prompt and run in another direction entirely, etc. that are gifted to the larger lotr_sesa community, rather than a particular participant.)

Short Answer: Yes.

Longer Answer: ...That's pretty much all there is to it. Yes, of course they're allowed! That sounds like a really nice idea. You can post them to the AO3 collection the same way you would an assignment, but without filling in the "Gift this work to" field.

Hello, folks! We hope the exchange is going smoothly for everyone so far!

We've had a really lovely suggestion come from a group of watchers/participants who wanted to know if it was ok to create "treats" for lotr_sesa. For those of you unfamiliar with the yuletide model such treats come from, this basically means the creation of extra gifts for other participants who are not necessarily their assigned recipient. The move to the AO3 actually makes treating other participants a little easier, since everyone's requests are organized in one handy spot.

...The answer, of course, is yes. We think it's a really nice idea, and while it's not an official or required part of lotr_sesa, as far as we're concerned, it would be a shame not to allow for acts of generosity.

So. Feel free to browse the requests if you'd like, whether you signed up for this round of the exchange or not, and if you're so moved, you can gift participants by using the Post to Collection button on the profile page. You can type your chosen recipient's name in the "Gift this work to" field, and it should auto-suggest users whose names match. The rest is simply filling out the various fields and posting your work like you would any other AO3 work.

Many thanks to those of you who floated the question by us in the first place! (And thank you for some of the wording I've used above. ^_~) Happy Holidays, everyone! We hope you all enjoy this added spin to lotr_sesa!



An Important Note to SeSa Participants: "Treating" is not a required or official part of lotr_sesa. The only required part is that you complete something appropriate for your assigned participant.

We also cannot guarantee that everyone will be "treated," since this is a purely voluntary, unofficial bonus activity. It's best to look at it that way: Your main gift is the one written/drawn for you by your assigned writer/artist, and anything else on top of that is gravy.

Similarly, if you do find you'd like to do a little treating of your own, you have our blessing, but please prioritize your assignment; the last thing anyone wants to happen is for someone's main story/artwork to be late, rushed or nonexistent because their writer/artist got caught up in treats.
